At Milton Keynes City Discovery Centre (MKCDC) we’re committed to protecting and respecting your privacy. This Notice explains when and why we collect personal information, how we use it, the conditions under which we may disclose it to others and how we keep it secure.

Who are we?
We’re Milton Keynes City Discovery Centre, a registered educational charity (GB 297397) and company limited by guarantee (Company number 02108180) based at Bradwell Abbey in Milton Keynes. We deliver learning experiences to school-age children and above on a range of curriculum-enhancing topics such as history, geography and urban planning. We also look after archive and library collections relating to the development of the new town of Milton Keynes and provide access for the public. Our Trading arm hires out the spaces and buildings available on-site for functions and businesses, the profits from which are re-invested in the Charity.
How do we collect information from you?
We obtain information when you make an enquiry about our products or services, or make a purchase from us - by email, telephone, through our website or via an external organisation our venue hire services are listed on. In person we collect payment card information when you purchase products from us. We also hold personal information in archive collections transferred to us and video recordings from our CCTV system.
What information do we collect?
We collect the information needed to respond to your enquiry or interaction with us; this can include your name, email address, IP address and card payment details. On the Bradwell Abbey site we take images via CCTV cameras and general crowd pictures at our events.
How do we use this information?
This information is used to respond to your enquiry and fulfil any contract we enter into with you to provide goods or services. We rely upon the following lawful bases to process your information:
Legitimate interests: for the purposes of answering enquiries, registering Archive & Reference Library users, upholding the provenance of Archive & Reference Library collections, the efficient and effective management of volunteers and Friends of Bradwell Abbey, and maintaining the security of the Scheduled Monument site.
Legal obligation: complying with the library and archive exceptions to the Copyright, Designs and Patents Act 1988 (articles 37-44A).
Contract: processing orders for goods or services from us, including venue hire bookings, ticketed events and product purchases.
Public interest: some personal data within our archive collections is processed for archiving purposes in the public interest. Where applicable, this processing is carried out in accordance with Article 89 UK GDPR and the safeguards required by data protection law. This does not remove individuals’ data protection rights, although certain rights may be limited where lawful and necessary.
Consent: required before you can be added to our events and activities mailing list, and our functions mailing list. At our events we will ask your consent before taking any images of individuals and keep a record of this consent.
Retention
We will hold your personal information only for as long as necessary to deal with your enquiry and any follow up that may occur, or is required by the law, or as set out in any relevant contract we enter into with you. This is generally one year after your booking, or after you have provided us with the information.
Our CCTV images are permanently deleted after 28 days.
Copyright declarations are kept for six years.
Archive donor information is retained for as long as the archive collection is kept.
Who has access to your information?
We will not sell or rent your information to third parties. We will not share your information with third parties for marketing purposes. Only staff and contractors employed by us have access to your personal information in order to complete tasks related to your enquiry. These third parties include:
Squarespace – website hosts and processors of online shop orders
Paypal – processors of online shop payments
Epos Now – processors of in-person card payments
Mailchimp – events and activities mailing list service provider
Become Studio – functions administration and marketing contractors
Klaviyo – functions mailing list and enquiry workflow providers
UK Bride, Bridebook and Hitched – venue hire listings services
How you can access or update your information
You have a right to:
A copy of the information Milton Keynes City Discovery Centre holds about you.
Ask us to correct any information we hold about you that might be wrong.
Ask us to delete any information we hold about you.
Withdraw consent for processing your information if your consent is the only basis we have for processing it.
Make a complaint to a supervisory authority if you feel we have unfairly processed your information.
You should also update us if any of your information changes during the course of us dealing with your enquiry. Use of Cookies
We use cookies on our website to prevent cross site request forgery attacks and aid navigation. Cookies only last for the session, they are stored on your device temporarily and deleted when you close your browser.
